Personalisation FAQ — Serbia

Putting a name on the merch — name drops, monograms, per-recipient engraving and the operational details that make personalised programmes work.

What personalisation is — and what it isn't

Personalisation in corporate merch is the addition of per-recipient information (typically a name, sometimes a role, an award title or a date) to an item that is otherwise part of a standard production run. It is distinct from customisation (changes to the design itself, which affect every piece) and from individualisation (a wholly bespoke item built for one recipient).

The operational difference matters. Customisation runs through the same decoration method as the standard run, with the same per-piece decoration cost applied to every item. Personalisation runs as an additional step — typically after the standard decoration is complete — with its own setup cost and a per-piece personalisation cost. Individualisation runs as a bespoke item with its own production quote.

For Serbia corporate merch, personalisation is most common on executive gifts, partner-visit kits, award ceremony items, employee milestone recognition, and any programme where the recipient list is known and the gift is intended to feel individually addressed rather than mass-produced.

Personalisation methods

The personalisation methods available depend on the product. The most common combinations:

  • Laser engraving on metal. Name, role or short message laser-engraved onto thermos, pen, keychain, metal card holder, metal USB drive. Most precise and durable method, with no per-piece ink or foil cost.
  • Embroidery on apparel. Name embroidered onto a polo, hoodie, jacket or cap below the logo or on the opposite chest. Adds digitisation cost per name (typically amortised across the run) and per-piece embroidery time.
  • Pad printing on hard goods. Name pad-printed onto a notebook cover, a ceramic mug, a USB drive shell. Lower per-name digitisation cost than embroidery but less durable.
  • UV printing on hard goods. Name UV-printed onto a notebook cover, a phone case, a plastic accessory. Fast per-piece printing but requires the recipient list upfront.
  • Sublimation on coated metal or ceramic. Name sublimation-printed onto a coated mug plate, a coated metal photo panel, a coated ceramic ornament. Full-colour personalisation available.
  • Doming on metal or plastic. Name printed onto a resin-domed sticker applied to a hardgood. Common for name badges on corporate gifts.
  • Hand engraving on leather. Name hand-engraved onto a leather notebook, wallet or card holder. Premium positioning, slower per-piece.

The choice depends on the product, the recipient tier, the durability requirement and the budget. We recommend the appropriate method at the brief stage.

Recipient list management

Personalisation requires a recipient list — a spreadsheet (CSV or XLSX) with one row per recipient and the personalisation fields as columns. The standard fields are: full name (for laser / embroidery / pad print), role or title (optional), and any other per-recipient data (department, location, milestone year, award title).

We provide a template spreadsheet at the brief stage with the column structure pre-defined for the chosen personalisation method. The buyer populates the template with the recipient list and returns it to us for production. We confirm receipt and run a sample against the first 5–10 rows before producing the full list.

For recurring programmes (quarterly employee milestones, annual partner gifts, etc.), we keep the recipient list on file and the buyer sends updates each cycle. New names are added, departed names are removed, and the per-cycle order is confirmed against the updated list.

For programmes with strict data-protection requirements (employee personal data, partner contact data), we sign a data processing agreement covering the GDPR-equivalent Serbian Personal Data Protection Law (ZZPL) and the recipient list is handled under the agreement. Standard practice for EU and EU-equivalent data protection regimes.

Diacritics and Cyrillic

Serbian names use the Latin script with diacritics (Ž, Đ, Č, Ć, Š) and the Cyrillic script is an equally valid alternative. Both scripts are standard on laser engraving, embroidery, pad printing and UV printing equipment configured for the region.

When personalising with Serbian names, the diacritics must be on the recipient list and must be on the artwork source. We cannot infer the diacritic from a non-diacritic version of the name — the data must be correct at the source.

For programmes with bilingual Cyrillic + Latin personalisation (common for Serbian corporate gifting where the recipient may use either script in their personal correspondence), we produce two versions of the personalisation — one Cyrillic, one Latin — and the buyer can choose which to apply per recipient based on the recipient's preference. The bilingual personalisation adds a small setup cost for the second script and a modest per-piece premium for the second engraving pass.

Lead time and cost for personalised runs

Personalisation adds to both the lead time and the per-piece cost of a standard run. The additional lead time is typically 2–5 business days, dominated by the recipient list processing and the personalisation setup. The additional per-piece cost depends on the method: laser engraving adds roughly 100–250 RSD per piece for a short name, pad printing adds 80–180 RSD, embroidery adds 150–350 RSD, UV printing adds 80–180 RSD, hand engraving adds 800–2,500 RSD.

For larger personalised programmes (above 100 recipients), the per-piece personalisation cost drops because the personalisation setup is amortised across the run. For very large programmes (above 500 recipients), the per-piece cost approaches the marginal cost of the personalisation step alone, with no setup amortisation remaining.

For VIP and partner-visit programmes, the per-piece personalisation cost is built into the VIP pricing and not itemised separately. For award ceremony programmes, the personalisation typically includes the award title and the year, with a standardised format applied to each recipient.

Quality control for personalised runs

Quality control on personalised runs is more demanding than on standard runs because each piece carries unique information and a typo on one piece affects one recipient rather than being diluted across the run. We run 100% inspection on personalised runs, checking the spelling and the personalisation against the recipient list before packaging.

For laser engraving, the inspection covers spelling, diacritics, character order and engraving depth. For embroidery, the inspection covers thread colour, stitch quality, name legibility and placement. For pad printing and UV printing, the inspection covers spelling, ink coverage and registration.

If a personalised piece fails inspection, it is re-produced from the blank if available, or re-personalised if the standard decoration is intact. Personalised pieces that cannot be re-produced are not shipped to the buyer and we issue a credit on the final invoice.

Personalisation for milestone and award programmes

For employee milestone programmes (5-year, 10-year, 25-year service awards), the standard personalisation is name + milestone year. For award ceremonies, the standard personalisation is name + award title + year. For partner-visit gifts, the personalisation is typically name + role or name + visit date.

The format is standardised across the run for milestone and award programmes, with each recipient receiving the same template applied to their individual data. The recipient list is typically maintained by HR and updated at the start of each cycle.

For partner-visit programmes with named individual recipients (delegation members, embassy visitors, ministry-level guests), the personalisation is often combined with hand-finishing and individual packaging. The combination is the standard for VIP programmes and is priced in the VIP tier.
