Storage FAQ — Serbia
Holding the merch between order and use — buffer stock at our warehouse, vendor-managed inventory, climate-controlled holding and the costs.
Why storage matters
Storage is the operational layer between production and use, and how well it is handled determines whether the merch arrives in the condition the buyer expected. A 500-piece apparel run produced and then stored for 16 weeks in an unconditioned warehouse in August Belgrade heat will arrive at the buyer with different hand and colour than the same run delivered two weeks after production. Climate, packaging, stacking and rotation all matter.
For Serbia corporate merch, the storage question comes up most often in three contexts: rolling programmes with quarterly top-up orders, seasonal programmes with concentrated delivery windows (Slava season, New Year corporate gifting, conference season), and event-anchored programmes with pre-staging at the venue before the event load-in.
Our Belgrade facility offers climate-controlled warehousing with humidity and temperature monitoring, FIFO (first-in-first-out) stock rotation, dedicated buyer zones for separating consignment stock from general stock, and integration with our vendor-managed inventory system for real-time stock visibility.
Storage duration and cost
Storage cost is typically priced per cubic metre per month, with a minimum monthly charge for small consignments. The typical Serbia range is 1,200–2,500 RSD per cubic metre per month for climate-controlled warehousing, with discounts for long-term commitments above 6 months and above 12 months.
The first 30 days after production are typically included in the production quote at no additional storage charge. Beyond 30 days, the storage cost applies from day 31 onwards. For buyers who need to release the goods quickly after production, this is a non-issue; for buyers with rolling programmes where stock is held for 90+ days between cycles, the storage cost is a real consideration.
Storage cost is also affected by the goods type. Apparel needs more cubic metre per piece than hardgoods because of the folding and packaging requirements. Drinkware needs climate-controlled conditions to avoid moisture damage to the packaging. Electronics need ESD-safe conditions. Leather needs humidity-controlled conditions to avoid drying or mould.
Buffer stock for rolling programmes
For buyers with predictable recurring merch needs, we recommend a buffer stock model where the most common SKUs are kept in rolling buffer stock at our Belgrade warehouse, with top-up orders shipping within 3–5 business days of a brief. The buffer stock size is set at the start of the programme based on the buyer's quarterly volume forecast and is adjusted quarterly based on actual usage.
The buffer stock is owned by the buyer (we hold it on a warehouse consignment basis) and is released against each top-up order. The storage cost is built into the per-piece top-up price rather than charged separately, which simplifies the buyer's procurement process.
This model is supported by our vendor-managed inventory service and is standard for buyers with quarterly or monthly merch cycles. It typically reduces the buyer's internal procurement effort by 50–70% compared to ad-hoc ordering.
Seasonal pre-staging
For seasonal programmes with concentrated delivery windows (Slava season, New Year corporate gifting, conference season), we offer a pre-staging service where the goods are produced early in the season, held in our warehouse through the lead-up period, and shipped to the buyer or the venue in the narrow window before use.
Pre-staging avoids the production capacity squeeze in the peak season. A December delivery run produced in November would miss the production capacity at the decoration partner; producing it in October and pre-staging through November hits a comfortable production window.
Pre-staging also allows the buyer to inspect the goods well before the use date and flag any issues at a comfortable distance from the deadline. We typically recommend pre-staging for any programme with a hard delivery date and a tight pre-deadline window.
Event venue pre-staging
For event-anchored programmes with venue delivery, we offer a venue pre-staging model where the goods are palletised or caged at our Belgrade warehouse in the days before the event, scanned against the buyer's pre-event inventory list, and delivered to the venue freight bay during the pre-booked slot.
Pre-staging at the venue is standard for major conferences and trade shows in Belgrade and Novi Sad, including the Belgrade Fair calendar, Sava Centar events, and large hotel conferences. It eliminates the most common failure mode in event merch — the missed load-in window.
Pre-staging also allows the buyer or their event team to walk through the inventory with our delivery driver at the venue, check the consignment against the packing slip, and close the delivery with a signed acceptance note on the spot.
Climate and condition monitoring
Our Belgrade warehouse is climate-controlled with temperature held at 18–22°C and relative humidity at 45–55% — the standard conditions for textile and paper-based merch storage. Conditions are monitored continuously and logged for compliance.
For programmes with specific climate requirements (leather goods requiring 40–50% humidity, electronics requiring ESD-safe conditions, wine or spirits requiring temperature-stable conditions), we can configure the storage zone to the specific requirement. The cost premium is typically 20–40% above standard climate-controlled warehousing.
For buyers with regulatory or compliance requirements (pharma, defence, certain public-sector programmes), we offer chain-of-custody documentation for stored goods, including the storage conditions log, access logs and handling logs. The documentation is provided on request and is included in the storage cost.
Pick, pack and ship from storage
For buyers using our storage service, pick-pack-ship is included as a standard operation. Each top-up order is picked against the buyer's brief, packed in the buyer's standard packaging (or our standard packaging if not specified), and shipped to the buyer's nominated address or to the event venue.
The pick-pack-ship cost is built into the per-piece top-up price for standard packaging. For custom packaging (branded cartons, individual gift boxing, custom inserts), the cost is itemised separately and priced per order.
For buyers with multi-recipient shipments (e.g., a headquarters-to-field-office distribution), we offer a multi-destination pick-pack-ship where a single storage release is picked, packed and shipped to multiple destinations. The cost is priced per destination and is typically 15–25% cheaper than running multiple separate releases.
