Welcome packs for new-hire onboarding in Serbia
Bundle kits for Serbian new hires — printed in Belgrade and Novi Sad, run sizes from 20 units, with monthly cohort packing and courier delivery to offices across Belgrade, Novi Sad and Niš.
Why welcome packs fit a Serbian onboarding brief
Serbian onboarding runs in monthly cohorts — the bigger employers in New Belgrade, central Belgrade and Novi Sad hire in batches against a quarterly plan. The welcome pack is the physical object that lands on the desk on day one and sets the tone for the first month. A good pack is the one the new hire actually uses: the notebook that goes into the first sprint planning, the mug that lives on the desk, the t-shirt that gets worn at the next team lunch.
The audience is one person at a time, but the brief is bulk. The pack has to look personal without being bespoke, and the contents have to scale with a 20-person or 80-person cohort without the per-unit cost climbing. The pack also has to clear HR — no alcohol, no tobacco or nicotine, no politically sensitive imagery, and no references that read as political on a Belgrade or Novi Sad desk.
The tone is welcoming and functional. A pack that is all decoration and no utility gets left in the bag. A pack that is functional and forgettable looks like a tax write-off. The middle path — a useful kit with one or two personalised items — is what a Serbian new hire will photograph and post on the first Friday.
Pack contents we recommend
For a standard mid-tier pack we put together: a 350ml double-wall thermal mug (laser-engraved mark on the body), a 100gsm A5 notebook with the company mark on the cover, a metal rollerball pen with the engraved mark, a printed cotton tote, and a printed welcome card with the hire's name and start date. The pack ships in a printed corrugated box with a kraft sleeve and a printed welcome letter on top.
For a senior hire pack (manager, lead, principal) we add a 750ml stainless steel water bottle with laser engraving, a leather-look A5 portfolio with the engraved mark, and a wireless charging pad with the printed mark. The senior pack lands at roughly twice the mid-tier unit cost and is reserved for the lead-track hires. Senior hires that join with a multi-day orientation at Sava Centar or Crowne Plaza Belgrade receive the senior pack on day one at the venue and the rest of the kit at the office on day two.
For a junior batch hire (graduate programme, sales development, customer support), the lite pack is a thermal mug, a notebook, a pen and a tote — the four units the new hire uses daily in the first month. The lite pack lands at the lowest unit cost of the three tiers and is the default for cohort sizes above 30.
Decoration that holds up to daily use
For the thermal mug and the stainless bottle, laser engraving is the standard. The mark recesses into the metal and survives years of dishwasher cycles. We confirm the engraving file against the existing brand mark at the proof stage and do not start the engraving run before the file is signed off.
For the notebook, we use a debossed cover (no print, just a recessed mark on the PU or kraft cover). Debossing reads as a deliberate design choice rather than a printed sticker and survives daily bag-toting. For a coloured cover with a one-colour mark, we use a silk-screen print on the PU or kraft surface.
For the pen and the tote, we use silk-screen printing in one or two spot Pantone Solid Coated colours. The pen mark sits below the clip; the tote mark sits above the front pocket. We confirm the print position on the proof sheet before the production run.
The welcome card is the one piece that gets personalised. We run the cohort list once a week from a CSV supplied by the HR team and print each card with the hire's name, role, and start date. The CSV stays inside our Belgrade production desk and is not transmitted outside the Serbian office.
Packing and hand-out
For an in-office hand-out (the most common case for Belgrade, Novi Sad and Niš offices), we pack the welcome pack in the printed corrugated box at our Belgrade warehouse, then ship the boxes per office in a courier bag with a packing list inside. The HR or office manager at each office opens the bag, checks the cards against the cohort, and hands the box to the new hire on day one.
For remote hires (a hire in Subotica, Kragujevac or Čačak who works from home in week one), we ship the welcome pack to the hire's home address via courier with a one-day window and a tracking reference. The HR team emails the hire in advance so the pack is expected, not a surprise delivery.
For hires that join on a Monday morning cohort, we ship the boxes the Thursday before so the office manager has the packs on the desks when the hire walks in. We do not ship on a Friday — a Friday delivery means the pack sits in the office over the weekend and the hire finds a stale box on Monday.
Runs, lead times and budgets in RSD
The standard run starts at 20 units (one mid-sized cohort). For monthly cohorts of 5–15 hires we keep a rolling warehouse stock and replenish as the cohort list comes in. Lead time is 10–14 working days from artwork sign-off for a new cohort, and 5–7 working days for a restock against an existing design.
Pricing is in RSD with EUR conversion on the invoice at the NBS middle rate on the day of issue. PDV 20% applies for Serbian B2B invoices. Serbian clients on a 30/70 milestone pay 30% on order confirmation and 70% on pre-delivery inspection at our Belgrade warehouse.
For employers that run a quarterly bulk order (a single production run that covers three months of cohorts), we hold the printed stock in our Belgrade warehouse and replenish against the weekly cohort CSV. The bulk order brings the per-unit cost down by roughly 15–20% versus a monthly production order.
Serbian onboarding context
Serbian employers hire against two main windows: a September–October autumn cohort (the start of the business year) and a January–February winter cohort (after the Slava and year-end break). The bulk of the welcome pack production sits inside these two windows, with a smaller spring cohort in March–April and a summer cohort in June (mainly for the IT and gaming employers that hire against a project ramp).
Tech employers in New Belgrade (the Yettel / A1 ecosystem, the gaming studios in Zemun, the B2B SaaS employers in central Belgrade) run a graduate-programme cohort in September and a continuous-hire model through the rest of the year. Banks, telcos, and the larger corporate employers run a quarterly cohort against a headcount plan. The pack contents stay the same across both — the cohort size and the pack volume are what changes.
Public-sector and government employers follow the official hiring calendar and avoid the Slava and pre-election windows. The pack contents stay the same; the delivery window moves to match the official start date.
What to confirm before you brief us
Before we run the quote we ask for four details: the cohort size (with a 10% buffer for late joiners and rescinded offers), the pack tier (lite, mid, or senior), the cohort start date, and the hand-out format (in-office, remote shipment, or hybrid). The cohort size lets us pick the per-unit spec and the production batch; the tier tells us the contents; the start date locks the production slot; the hand-out format tells us the packaging and shipping.
Bring your existing brand mark in vector (AI, EPS, SVG or PDF), the welcome card wording, and the cohort CSV template. The CSV template needs the hire's full name, role, start date, office location, and (for remote hires) the courier address. We confirm the CSV format at the first order and reuse the template for the rolling cohorts.
If you are running a quarterly bulk order (a single production run that covers three months of cohorts), we hold the printed stock in our Belgrade warehouse and replenish against the weekly cohort CSV. This is the most cost-efficient setup for Serbian employers with a fixed annual hiring plan.
Frequently asked questions
How much does a Serbian welcome pack cost per hire?
Pricing is in RSD with EUR conversion on the invoice at the NBS middle rate on the day of issue. A mid-tier pack lands in the 4,500–6,500 RSD per unit range on a 20-unit run; a lite pack lands lower; a senior pack lands roughly twice the mid-tier. PDV 20% applies for Serbian B2B invoices. A scoped quote is returned within one Belgrade business day once the cohort size, pack tier and start date are confirmed.
What is the lead time?
Lead time is 10–14 working days from artwork sign-off for a new cohort with a new design, and 5–7 working days for a restock against an existing design. We confirm the production slot at the order confirmation stage and do not start production before the deposit is cleared. The cohort CSV is locked one week before the start date — late additions ship in the following week's batch.
What is the minimum order?
Standard runs start at 20 units (one mid-sized cohort). Smaller VIP batches of 5–10 units are possible for a senior-track single hire or a small executive onboarding. We do not run fewer than 5 units — the setup cost makes the unit price uneconomic below that floor.
Can we see a sample pack before the production run?
Yes — a pre-production sample pack with the agreed contents and decoration is signed off at our Belgrade base. The sample cost is the mid-tier pack unit price plus the engraving setup, credited against the final order on confirmation. We do not start the production run before the sample pack is signed off in writing.
Can we personalise the welcome card?
Yes — we run the cohort list once a week from a CSV supplied by the HR team and print each card with the hire's full name, role, and start date. The CSV stays inside our Belgrade production desk and is not transmitted outside the Serbian office. We confirm the CSV format at the first order and reuse the template for the rolling cohorts.
Can the packs ship to remote hires?
Yes — we ship the welcome pack to the hire's home address via courier with a one-day window and a tracking reference. The HR team emails the hire in advance so the pack is expected. We confirm the courier address against the cohort CSV and do not ship to a P.O. box or an unconfirmed address.

What's next
Once the cohort size and start date are locked, we run a quote in RSD with the three pack tiers and the decoration options. From quote to delivered packs at the Belgrade or Novi Sad office is typically two to three weeks; a quarterly bulk order brings the per-unit cost down and lets us hold a printed warehouse stock that we replenish against the weekly cohort CSV. Serbian B2B invoices are issued with PDV 20% applied per the standard reverse-charge rules.
